A lead in DeltaLead is more than a contact record — it is a living profile that captures every interaction a prospective buyer has with your dealership, regardless of which channel they used to reach you. From the moment someone sends a WhatsApp message about a Hilux to the moment they take delivery, every conversation, call, form submission, and follow-up is attached to a single profile. Your sales team sees the complete picture before they say a word.

Lead lifecycle stages

Every lead moves through five stages from first contact to close. DeltaLead tracks and displays the current stage in the unified inbox and syncs it to your connected CRM or DMS.

Lead profile fields

Each lead profile consolidates data collected across all channels and conversations. The table below lists the core fields available in the dashboard and via the API.

Monthly Active Client (MAC) — the billing unit

DeltaLead bills by the number of Monthly Active Clients (MACs): the count of distinct leads you worked with during a calendar month. A lead counts as one MAC for the month if any activity occurred — a single inbound message, an outbound follow-up, a phone call, or a team member action. The volume of interactions within that month does not change the count: a lead you exchanged 30 messages with counts the same as a lead you sent one follow-up to. If a lead was active in August, went quiet in September, and received a follow-up in October, it counts as one MAC in August and one MAC in October — not in September. You never pay for your historical base of inactive leads.
If you exceed your plan’s contracted MAC volume, operations continue without interruption. Overage is billed at US12per10additionalMACsonGrowthandUS12 per 10 additional MACs on Growth and US15 per 10 on Advanced.

Lead deduplication

When the same person contacts your dealership through multiple channels, DeltaLead automatically identifies and merges them into a single profile with one unified history. For example: a prospect sends a WhatsApp message on Monday, calls on Wednesday, and fills in a web form on Friday. DeltaLead recognizes these as the same person — using phone number, email, and conversation context — and consolidates all three touchpoints under one lead record. Your team sees a single, continuous conversation rather than three separate contacts. The lead also counts as one MAC, not three.
Deduplication relies on matching identifiers (phone number, email). If a lead uses a different phone number and email on each channel with no overlapping data, DeltaLead creates separate profiles until a match can be confirmed. You can merge profiles manually from the dashboard.

Data ownership

Your dealership owns all lead data generated in DeltaLead. Leads, conversation transcripts, call recordings, AI summaries, and reporting metrics belong to you. DeltaLead processes this data solely to deliver the service. You can export your data at any time from the dashboard or via the REST API — no approval or support ticket required. If you end your contract, you receive a full export and migration support before any data is removed.
Export formats include CSV and JSON for lead records and conversation data, accessible from the dashboard under Settings → Data Export or programmatically via GET /leads and GET /conversations on the DeltaLead API (https://platform-api.deltalead.ai/v1). Call recordings are exported as MP3 files.
